1. Who we are
FleetGuv ("we", "us") is a fleet management service for small UK businesses. Contact us at privacy@fleetguv.com.
We are the controller of the data we collect from website visitors, users of our free tools and account holders. For the fleet data our customers enter (drivers, vehicles, checks, mileage, receipts and maintenance), the customer is the controller and we process that data on their instructions.
2. What we collect and why
- Email address and marketing preference, when you download our free check sheet. We use it to send you the sheet, and to send marketing only if you opt in (consent).
- Name, email, company name and billing details of account holders. We use them to provide and bill for the service (contract) and to keep financial records (legal obligation). Card details are handled by Stripe and never stored by us.
- Fleet data entered by customers: driver names and emails, vehicle details, check results, mileage, receipts and maintenance records. We use it to provide the service on our customer's instructions. We do not store GOV.UK share codes and we do not track location.
- Technical data (such as IP address and browser type) and messages typed into our website assistant. We use them to run and secure the site and answer questions (legitimate interests). Please do not enter personal or sensitive information into the assistant.
3. Who we share data with
We do not sell your data. We use trusted providers to run FleetGuv: Supabase (database and login), Stripe (payments), Tabscanner (reading receipts), and our website hosting and AI providers. We also send vehicle registrations to DVSA and DVLA services to look up MOT and vehicle data. We may disclose data where the law requires it. Some providers process data outside the UK, and where they do we rely on lawful safeguards for the transfer.
4. How long we keep data
- Account and fleet data: while the account is active, then deleted or anonymised within a reasonable time after closure (we aim for 90 days).
- Billing and accounting records: 6 years.
- Free check sheet emails: until you unsubscribe or ask us to delete them.
5. Your rights
You can ask us to give you a copy of your data, correct it, delete it, restrict or object to how we use it, or move it to another service. You can withdraw consent at any time. Email privacy@fleetguv.com and we will respond within one month. If your data is fleet data held for your employer, we may pass your request to them.
6. Marketing emails
We only send marketing emails if you ticked the box to receive them. Every email includes an unsubscribe link. Service emails (such as invitations and account notices) are not marketing and will still be sent.
7. Cookies
We use cookies that are necessary for login and security. If we add analytics or advertising tools in future, we will ask for your consent first and update this policy.
8. Complaints and changes
If you are unhappy with how we handle your data, contact us first at privacy@fleetguv.com. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We may update this policy from time to time, and the latest version will always be on this page.
